The Role

Talent Inc. is seeking an adaptable Part-Time Office Assistant. This candidate should possess a positive attitude and be highly motivated to learn and grow within a fast-paced organization. This position is part-time, beginning with 20 hours a week with potential for more hours. The rate of pay is $15.00 - $18.00 an hour dependent on experience.

The primary responsibility of the part-time office assistant is to operate a welcoming and efficient office. The office assistant will work closely with the operations and finance team and will report to the Sr. Operations Manager. The ideal candidate is a personable, systematic, and extremely organized.

Key Responsibilities

  • Greets and directs all visitors and vendors.
  • Signs for deliveries when necessary and notifies recipients.
  • Ensures lobby area, conference rooms, kitchen, restrooms and common areas are kept neat, clean and stocked with appropriate supplies.
  • Handles the maintenance, ordering, and invoices of office and kitchen supplies.
  • Restocking beverages into refrigerator. This task must be done daily and can require as many as 4 cases (12 can/case) of soda to be unpacked and stocked into kitchen fridge as well as juices and occasionally beer
  • Restocking Coffee, Coffee cups, sugar, & kitchen supplies. Task is done daily.
  • Restocking Snacks/Trail Mix/Nuts/Candy. Task is done daily.
  • Daily loading/unloading dishwasher & loading unpacking food delivery boxes.
  • Responsible for setting up (coffee, juices, tea, condiments as needed), lunch, sodas, replenishing throughout as needed) cleaning up throughout the entire event (food, drinks, tidying up, replenishing as needed, etc.) and breaking down tables.
  • Oversees the scheduling/reserving of conference rooms.
  • In charge of timely delivery of mail to post office as necessary, at end of the business day.
  • Prepares and processes outgoing mail to include: accurate weighing and affixing postage.
  • Perform data entry, word processing and spreadsheet tasks and develop simple reports from databases and systems when needed.
  • Order catered breakfast on Thursdays.
  • Data Entry using QuickBooks and Bill.com.
  • Verify that all 1099 consultants are correctly on-boarded as assigned.
  • Coordinate and resolve with the Sr. Accountant Manager any outstanding vendor inquiries.
  • Serve as back-up, responding to general phone and in-person inquiries and referring more complicated issues to appropriate staff members and assisting new staff with completion of HR paperwork and use of self-service portals.
  • Support management in completing special projects, ad-hoc reporting, and other tasks as assigned.
  • Qualifications

    • Must be able to wear many hats and take direction, but must have the ability to work independently in a fast-paced environment.
    • A team player with strong communication and interpersonal skills.
    • Excellent time management skills, ability to prioritize and multitask.
    • Quick learner that is excited by a challenge.
    • Proficient with MS Office suite.
    • Comfortable working with all levels of management.
    • Must have working knowledge of basic computer systems and intermediate computer skills.
