The Role

Talent Inc. is seeking an adaptable Office Assistant. This candidate should possess a positive attitude and be highly motivated to learn and grow within a fast-paced organization.

The primary responsibility of the office assistant is to operate a welcoming and efficient office. The office assistant will work closely with the operations and finance team and will report to the Sr. Operations Manager. The ideal candidate is a personable, systematic, and extremely organized.

Key Responsibilities

  • Serve as back-up to the Sr. Operations Manager, responding to general employee inquiries and referring more complicated issues to appropriate staff members.
  • Assisting new employees with completion of HR paperwork and use of self-service portals and creation of personnel file.
  • Ability to handle and maintain confidential information.
  • Aptitude in overseeing employee benefits administration temporarily.
  • Assists with tracking of hourly employee timesheets and submission for payroll.
  • Organizes and executes office social events.
  • Ensures lobby area, conference rooms, kitchen, restrooms and common areas are kept neat, clean and stocked with appropriate supplies.
  • Handles the office maintenance, ordering, and mail.
  • Oversees the scheduling/reserving of conference rooms.
  • Responsible for restocking refreshments and snacks. Task is done daily.
  • Perform data entry, word processing and spreadsheet tasks from databases and systems as assigned.
  • Assists Sr. Accounting Manager with any outstanding vendor inquiries and ad hoc projects.
  • Assumes other duties as assigned by management or the CEO.
  • Qualifications

    • Must be able to wear many hats and take direction, but must have the ability to work independently in a fast-paced environment.
    • A team player with strong communication and interpersonal skills.
    • Excellent time management skills, ability to prioritize and multitask.
    • Able to exhibit a high level of confidentiality.
    • Quick learner that is excited by a challenge.
    • Comfortable working with all levels of management.
    • Must have working knowledge of basic computer systems, including Word and Excel in a Microsoft Windows environment
    • Minimum of a Bachelor's degree or equivalent experience in Human Resources, Business, or Organization Development or equivalent.
    • TriNet experience a plus.
